Automate Your Online Business in 10 Minutes
Automation in online business hasn't been known to create the best feeling for online content creation, however, the tide is turning.
Automation in online businesses does not always have the best reputation and can spread a feeling of dis-ease. Losing personal contact with your customers becomes a great concern, as does the fear of technology. But automation can make room for your most important things and save you an incredible amount of time!
We'll show you our best tips and tools so you can use automation effectively and achieve an immediate effect, all without losing contact with your customers.
How I Automate My Online Business?
Repetitive, simple processes that keep you from your core tasks can be automated without hesitation, especially payment and booking processes.
We use Zapier, a tool that connects different systems within our business. For example, we use Zapier to track our new customers and our finances, as well as the resulting tasks needed to be completed by our team. Once a payment processor, such as PayPal or Stripe receives a payment, Zapier automatically transfers the most important data into Airtable (our customer and finance management tool).
Then a new task including the name of the new customer, booking date, total net/gross numbers, and the payment plan, the amount we will be receiving in the following months is created. Simultaneously, a team member receives a notification telling them what needs to be done for the onboarding process. This task may include sending an onboarding survey, the welcome package, the invitation to the onboarding call, and adjusting the success plan.
“Never automate contact with your customers!”
This automation with Zapier makes it easier for us to calculate our revenue better and faster, every team member knows what to do and when to do it, and the onboarding process for new customers runs smoothly making them feel valued, heard, and supported in the best way possible.
As you can see, we NEVER automate personal contact with our customers via Instagram, mail, or the like!
Be Careful!
Of course, there are a few things to keep in mind when automating. Fallacy - I automate my business today and tomorrow everything runs like clockwork. This is not the case.
Automation takes time and must be tested. Take your time to find out which content works automatically and which doesn't. Start with the regular tasks you need to do monthly, weekly, and daily.
A second misstep: You don't know the process yet.
"I made the mistake of automating processes that weren't final. That can't work," says Kriss, founder, and CEO of Mepreneur GmbH. You must find the right process that you and your customer are happy with and only then should you automate this process. We NEVER automate personal contact with our customers!
By the way, what you set up once will not work forever. Don't forget to keep adapting your automation to your business. Regularly question whether onboarding still suits you and your program or how you can make it better. Plan out what you want the new process to look like before you automate it.
